Student Scientific Meeting Participation Support Program

1. Purpose

The Turkish-Japanese Science and Technology University (TJU) aims not only to provide its students with an education beyond the limits of their formal coursework but also to enable them to become active members of national and international scientific communities. This program is designed to provide financial and institutional support for undergraduate, graduate, and doctoral students attending academic events such as conferences, symposia, and workshops.

2. Scope of the Program

The program supports student participation in national or international scientific events. Support can be provided for in-person, hybrid, or online events. Commercial fairs, general career events, and organizations without a scientific evaluation process are generally not supported.

3. Eligibility Conditions

Applicants must be enrolled as an active student at TJU on the application date and must not have received any disciplinary sanctions. The request must be directly related to the student's program, thesis, or research project.
• Undergraduate Students: Expected to take on a scientific or institutional responsibility (author/co-author, poster presentation, etc.) rather than merely attending as a listener. • Graduate Students: Expected to participate with an accepted oral or poster presentation, or present a peer-reviewed conference paper.

4. Eligible Expenses

Conference registration fees, economy class travel expenses (flight, train, bus), and reasonable accommodation expenses can be covered. For international events, visa application fees and travel health insurance may also be considered.

5. Support Limits

• National Scientific Events: Up to 10,000 TRY per student. • International Scientific Events: Up to 50,000 TRY per student. • Events Held in Japan: Up to 100,000 TRY per student in line with TJU's founding mission.

6. Application Process

Applications must be submitted at least four weeks before the event's start date. A letter of invitation/acceptance, draft program, estimated budget table, and academic advisor's supporting letter must be provided. Applications are evaluated by the relevant commission based on scientific quality, academic necessity, and budget availability.

7. Post-Support Obligations

Supported students are required to submit their certificate of attendance, a copy of the presentation/poster, a short activity report, and documents related to expenditures within 30 days following the end of the event.
